An agent site where the assistant actually holds the calendar

A life insurance agent with a booking assistant wired into his real calendar. It offers times that exist, takes the booking in conversation, and files it to the CRM.

The situation

An individual agent lives or dies on the meeting. Everything on the site is in service of one action, and that action is usually handled by the worst tool on the page: a contact form that lands in an inbox, or a scheduler link that dumps a stranger into a raw availability grid.

Both leak. The form leaks because nobody replies at the moment the person was ready. The grid leaks because it asks someone who came to talk to a person to do data entry instead.

The other failure is quieter and more expensive. A booking that does not reach the CRM is a booking the agent has to remember, and eventually one gets forgotten.

What we built

A site whose one job is the appointment, with an assistant that can actually finish it.

  • A booking assistant connected to Jose’s real calendar, reading availability in real time, so the times it offers are times that exist
  • Booking as conversation rather than form filling. “Just book me a time” is a complete instruction; the assistant pulls the open slots, names two or three in plain language with the days attached, and confirms the one the person picks
  • Details collected after the slot is agreed, not before, so nobody is asked for a name to see whether an appointment is even possible
  • The confirmed appointment and its booking details pushed straight into the CRM, so the agent’s follow-up starts from a record instead of a memory
  • A phone number under the chat for the person who would rather talk. The assistant is the fast path, not the only one
  • The assistant introduced as itself, “Book with Jose Argueta, retirement specialist, usually replies instantly,” so expectations are set before the first message
  • The whole page built around Jose personally, with an illustrated portrait rather than stock photography, because an individual agent is the product

What it does now

Someone reads two paragraphs, says they want a time, and has one, without a form, a callback, or an availability grid. Jose finds it on his calendar and in his CRM. The firm-wide site is Teacher’s Retirement Solutions.
